Program Committee Responsibilities
Members: Paul, Tory, Ginny, and Sandra
- Before presentation
- Provide presenter with list of specific information needed prior to presentation and assist as needed (Paul)
- Develop flyer for website and handout at presentation (Paul)
- Update website with speaker info, photo, bio, and materials (Paul)
- If a video recording of the presentation is to be made, ensure the presenter gives permission (Paul)
- One week before presentation
- Contact presenter by email to "check in", and see if there are handouts to be printed (Paul)
- If speaker needs to be contacted by phone, Paul to notify Board liaison, & Board Liaison to call. (Paul, and Board Member--Speaker Liaison)
- Send email to Alpert JCC coordinator to verify room reservation and request equipment needs like DVD player, flip chart, and projector (Paul)
- Send reminder to Refreshment provider (Paul)
- Prepare Handout in pdf format and send to Tory & Ginny: Program Schedule, this month's and next month's presentation flyer, and presenter's handout (Paul)
- Print pdf handout (Tory; Ginny is backup)
- On day of presentation
- Bring EALB Banner—and store after meeting (Ginny)
- Arrive at meeting room early to ensure the room is set up and help presenter with their setup (Ginny; Sandra is backup. Also Speaker Liaison, if possible.)
- Video Record presenter (TBD)
- Administer CEU (Tory and Tiombe)
- After the presentation
- Ask Board for comments (Paul)
- Compile CEU results and forward to Paul (Tory and Tiombe)
- Send thank you letter to presenter, including CEU results, and request an email or link to any additional, materials or references cited by speaker (if any) at meeting (Paul)
- Update website with any additional handouts, materials or references provided by speaker following meeting (Paul)
